    • become or apply to become a FlipShip customer;

    FLIPSHIP LTD provides shipping, logistics and transport-compliance support to retailers and other businesses.

    For information we collect and use for our own business purposes, FLIPSHIP LTD is generally the data controller.

    This includes information collected through our website, enquiries, Free Product Reviews, customer onboarding, account administration, billing and customer support.

    Where a business customer gives us information about its own customers or recipients solely so that we can arrange or support a shipment, that business may be the data controller and FLIPSHIP LTD may act as a data processor on its instructions.

    The information we collect depends on how you interact with FlipShip.

    Business and contact information

    We may collect:

    • your name;
    • company name;
    • job title or role;
    • business email address;
    • telephone number;
    • website address;
    • business, billing or collection address;
    • company registration information; and
    • VAT information where relevant.

    Account and payment information

    We may collect:

    • customer account information;
    • billing contacts;
    • invoices and transaction records;
    • payment status;
    • Direct Debit mandate status or references;
    • limited payment information received from payment providers;
    • refunds;
    • failed-payment information; and
    • disputed-payment records.

    Where payment information is collected directly by a payment provider such as GoCardless, we do not normally receive or store your complete bank-account details or online-banking credentials.

    Product and shipping information

    When you ask us to review or support a product, we may collect:

    • product names and descriptions;
    • ingredients, contents or materials;
    • product classification information;
    • Safety Data Sheets or SDS/MSDS documents;
    • product photographs;
    • packaging photographs;
    • packaging specifications;
    • parcel contents;
    • parcel weights and dimensions;
    • quantities;
    • Dangerous Goods information;
    • Limited Quantity or Excepted Quantity information;
    • shipping restrictions;
    • product or shipping approval records;
    • collection and delivery destinations;
    • courier or route information; and
    • expected or actual shipment volumes.

    Shipment and recipient information

    If we arrange or support a shipment, we may receive:

    • recipient name;
    • delivery address;
    • email address;
    • telephone number;
    • delivery instructions;
    • order or parcel details;
    • tracking numbers;
    • courier references;
    • delivery status; and
    • information about failed deliveries, returns or claims.

    Communications

    We may retain:

    • enquiries;

    We may use personal information to:

    • provide Free Product Reviews;
    • assess whether we can support a product or shipping setup;
    • review product and packaging information;
    • review SDS or MSDS documents;
    • consider quantities and destinations;
    • provide pricing or quotations;
    • onboard customers;
    • create and administer customer accounts;
    • arrange and support shipments;
    • create or support shipping labels and documentation;
    • provide regulated-shipping support;
    • communicate with couriers and logistics partners;
    • maintain product and shipping approval records;

    6. Free Product Reviews and product information

    A Free Product Review helps us assess whether FlipShip may be able to support your product and intended shipping setup.

    Depending on the product, we may review:

    • the product description;
    • ingredients or materials;
    • SDS or MSDS documentation;
    • classification information;
    • photographs of the product;
    • photographs of the packaging or gift set;
    • photographs of the packed shipping parcel;
    • parcel contents;
    • quantities;
    • parcel dimensions and weight;
    • destinations;
    • expected shipment volumes; and
    • relevant shipping requirements.

    We use this information to assess the setup, identify any additional requirements and determine whether we can support the proposed shipping arrangement.

    Submitting a Free Product Review does not itself guarantee that a product, shipment or route will be approved.

    7. Customer and recipient delivery information

    Our customers may give us personal information about their customers, recipients, staff or other individuals where this is necessary to arrange a shipment.

    This may include:

    • recipient names;
    • addresses;
    • telephone numbers;
    • email addresses;
    • delivery instructions;
    • order information;
    • tracking information; and
    • courier references.

    We may use this information to:

    • create shipping labels;
    • arrange collections and deliveries;
    • provide information to couriers;
    • support tracking enquiries;
    • handle returns or failed deliveries;
    • investigate shipment issues; and
    • maintain appropriate operational records.

    Business customers are responsible for ensuring they have an appropriate basis for providing recipient information to FlipShip and relevant delivery providers.

    Where we receive recipient information solely to fulfil a shipment, we will not use that information for unrelated marketing.

    8. Payments and GoCardless

    We may use GoCardless or another authorised payment provider to collect amounts such as:

    • membership fees;
    • shipment charges;
    • courier surcharges; and
    • other agreed fees.

    The payment provider may collect information such as:

    • account-holder name;
    • bank-account details;
    • Direct Debit mandate information;
    • payment amount;
    • payment date; and
    • payment status.

    Where this information is collected directly by the payment provider, it is handled under that provider's own privacy notice and terms.

    FlipShip may receive limited information needed to administer payments, reconcile accounts and deal with failed or disputed payments.

    We do not normally receive or store your full online-banking credentials.

    9. Who we share information with

    We do not sell personal information.

    We may share information where reasonably necessary with organisations that help us provide and operate our services.

    Couriers and logistics providers

    This may include:

    • parcel couriers;
    • carriers;
    • collection providers;
    • logistics companies;
    • customs intermediaries; and
    • other transport partners.

    We may provide them with the recipient, parcel, product and shipping information necessary to arrange or support a shipment.

    Payment and financial providers

    These may include:

    • GoCardless;
    • banks;
    • accounting providers;
    • invoicing providers;
    • payment processors; and
    • debt-recovery providers where reasonably necessary.

    Website and technology providers

    These may include:

    • Shopify;
    • hosting providers;
    • form providers;
    • email providers;
    • customer-management systems;
    • analytics providers;
    • cloud-storage providers;
    • IT support providers; and
    • cybersecurity providers.

    Professional and compliance advisers

    We may provide relevant information to:

    • Dangerous Goods or transport-compliance advisers;
    • product-safety advisers;

    This may occur where a courier, technology provider, payment provider or other supplier operates internationally.

    11. How long we keep information

    We do not intend to keep identifiable personal information for longer than reasonably necessary.

    Different records need to be kept for different periods depending on why we hold them.

    Enquiries and unsuccessful applications

    Normally up to 24 months following our last meaningful contact, unless there is a reason to retain them for longer.

    Customer and contract records

    Normally for the duration of the customer relationship and, where appropriate, for up to six years afterwards.

    Invoice, payment and accounting records

    Normally for at least six years where required for accounting, tax or legal purposes.

    Product and compliance records

    Product reviews, SDS documents, packaging information, approval records and regulated-shipping records may be retained during the customer relationship and for up to six years afterwards where reasonably necessary.

    Shipment and recipient records

    These will generally be kept for as long as necessary to arrange and support the shipment and deal with any subsequent claim, dispute, audit or legal requirement.

    Core shipment records may be retained for up to six years where reasonably necessary.

    Marketing records

    Marketing contact information may be retained until you unsubscribe, object or ask us to stop.

    We may retain a limited suppression record afterwards so that we can respect that request.

    Complaints and claims

    Relevant records may normally be kept for up to six years after the issue is closed, or longer if proceedings, insurance requirements or legal obligations make this necessary.

    Our services are designed for businesses and are not directed at children.

    A child's name or delivery details may occasionally be included in information provided by a business customer when arranging delivery to a household.

    Where that occurs, the information will only be used where reasonably necessary for the shipment and related support.
